This Privacy Policy explains how Fairlead Advisors, LLC (“Quickbeans,” “we,” “us,” or “our”) collects, uses, stores, and shares information in connection with the Quickbeans application and related services (the “Service”). Quickbeans is a bookkeeping-automation tool that connects to your QuickBooks Online company to help import documents and post bills.
1. Information we collect
Account information (the email address you use to sign in and authentication identifiers); QuickBooks connection data (OAuth access and refresh tokens, your QuickBooks company/realm ID, and company name); QuickBooks accounting data needed to read or post transactions (such as vendors, bills, and accounts); documents you upload (loan statements, bills, and spreadsheets) and the data extracted from them; and usage and log data such as timestamps, actions taken, and error logs.
2. How we use information
We use information to provide and operate the Service; connect to and exchange data with your QuickBooks Online company; parse and extract data from documents you upload; create and post bills and related records to QuickBooks on your instruction (including on a schedule you configure); send service-related email notifications; secure, troubleshoot, and improve the Service; and comply with legal obligations.
3. How we share information
We do not sell your information. We share it only with service providers that help us operate the Service, and only as needed: Intuit (QuickBooks Online) as the platform you connect; Supabase for database and authentication; Vercel for application hosting; Anthropic (Claude API) for parsing uploaded documents; and Resend for sending email. We may also disclose information if required by law, to protect our rights or users’ safety, or in connection with a business transfer.
4. Use of QuickBooks / Intuit data
Our use and transfer of information received from the QuickBooks Online API adheres to the Intuit Developer Terms of Service. We access only the QuickBooks data necessary to provide the features you use, and we use it solely to provide and improve the Service for you. We do not use QuickBooks data for advertising.
5. Data storage and security
Data is stored in Supabase (PostgreSQL) infrastructure hosted on Amazon Web Services in the United States. We protect information using encryption in transit (TLS/HTTPS) and at rest, access controls including row-level security so each user can access only their own data, and least-privilege handling of credentials. OAuth tokens are used only to make API calls on your behalf.
6. Data retention and deletion
We retain your information for as long as your account is active or as needed to provide the Service. When you disconnect Quickbeans from a QuickBooks company, we revoke and delete the associated OAuth tokens. You may request deletion of your account and associated data at any time by contacting us at privacy@fairleadadvisors.com; we will delete it except where retention is required by law.
7. Your rights and choices
You may disconnect your QuickBooks company at any time from within the Service, which stops further data access. Depending on your location, you may have rights to access, correct, export, or delete your personal information. To exercise these rights, contact us at privacy@fairleadadvisors.com.
8. Children’s privacy
The Service is intended for business use and is not directed to individuals under 18. We do not knowingly collect information from children.
9. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version here and revise the “Last updated” date above. Material changes will be communicated as required by law.
